Project Description:

We are seeking a motivated and detail-oriented Marketing/Project Assistant to support our marketing initiatives and project coordination efforts. This dual-role position is perfect for someone who thrives in a fast-paced environment, enjoys multitasking, and is eager to grow.

Essential Duties & Responsibilities:

  • Work with the project and Marketing Director to direct marketing efforts for all stages of opportunities (qualifications, RFQs/RFPs/proposals, presentations, and follow-up).

  • Assist with advertising and direct mail campaigns, including holiday cards and announcements, internal publications, and social media.

  • Develop, organize, update, and format marketing collateral (resumes, project sheets, project lists, etc.), while maintaining consistency, quality, and corporate branding.

  • Acquire photography of completed projects, including coordinating with a professional photographer, taking photos on the project site, and minor photo editing.

  • Maintain photo library and photography contractual agreements.

  • Organize and coordinate mailing campaigns, including holiday cards and office announcements.

  • Assist with event planning for all company events.

  • Participate in gathering information and vetting leads for social media.

  • Update and maintain various marketing logs and databases.

  • Establish and maintain effective and collaborative working relationships with senior management.

  • Print bids for estimators as needed.

  • Print bidding documents, including drawings, specifications, and addendums.

  • Prepare bid forms from the bid coordinator, ensure all documents are received and ready for signatures and submission.

  • Prepare the bid room for Bid Day, ensuring printers are stocked with paper, and bid sheets and tags are ready.

  • Break down the bid room post-bid by scanning all listed bids and completed bid forms, saving them to the designated bid folder.

  • Share bid results with subcontractors as requested.

  • Receive mail, distribute as needed. Mail UPS/FedEx/USPS for any outgoing mail.

Qualifications:

  • Bachelor’s degree (B.A. or B.S. in business administration, with an emphasis in marketing or communications preferred).

  • Preferred: 2-5 years of marketing experience within the Construction A/E/C industry.

  • Conscientious and flexible, with a strong work ethic and team-player attitude.

  • Strong skills in time management and prioritization.

  • Willing to go the extra mile when demands require.

  • Detail-oriented, with an eye toward the big picture of office, region, and firm goals.

  • Solid written and verbal communication skills; ability to adapt to different communication styles.

  • Proven editing ability. Fluent with Canva, Adobe InDesign and Microsoft Office.

  • Proficiency in software such as Photoshop and Illustrator is a plus.

  • Ability to thrive in a fast-paced environment and effectively handle multiple requests.

  • Ability to guide others in the firm on the appropriate use of marketing tools and systems.
