Bid Coordinator

Job Description:

We are looking for an engaging and dynamic Bid Coordinator to join our Hayward office estimating/marketing team. The ideal candidate is a self-starter with strong interpersonal and communication skills, highly organized, a cheerleader, and a motivator.

Essential Duties & Responsibilities:

  • Provide support to the estimating team for successful bid delivery

  • Review the Bid List with Bid Marketing Team every Monday

  • Provide bidding support including:
    - Check for addendums and update/publish on bid list accordingly
    - Prepare bid forms
    - Schedule job walk attendants and bid runners for bid turn in
    - Schedule bid runner for bid turn in

  • Submit all required post bid documentation

  • Request bid bonds

  • Maintain, update and organize data for prequalification

  • Tracking of prequal renewals to ensure good standing with districts

  • Assist in production and delivery of SOQ/P, including coordinating and confirmation of proposal delivery

  • Publish jobs on BuildingConnected. Coordinate with Estimator for the scopes to be published and invite subcontractors.

  • Prepare bid room for bid day, including checking printers

  • Prepare bid folder for estimator including notice to bidders, job walk attendants (SmartSheet)

  • Communicate bid results to the team

  • Source new project opportunities, including Lease-Leaseback and Design/Build projects, for all offices and forward to estimating team for go/no go decision

  • Publish required DBE advertisements

  • Breaking down of bid room and scanning of bid folders

  • Notary

  • Obtain all insurance certifications and renewals

  • Process new contracts including assigning job numbers/folders, create projects on shared drive

  • Vista/GC Pay: escrow account login, distributing site

  • Compile Project Specific Safety Binders

  • Update project directories


  • Minimum AA degree
    Preferred: 5 years experience in construction or related field.

  • Extensive knowledge of computer systems including MS Office and BlueBeam. Knowledge of Smartsheet is highly preferred.

  • Demonstrate high level interpersonal skills and works cooperatively with others to accomplish tasks.

  • Strong organizational skills with the ability to multi-task and manage several projects at once.
